OSPI and school districts located within the ESD 123 region may use rooms with base usage fees waived (except any part of the Cascade Room) during regular business hours M-F, 7:30 AM-4:00 PM.

An after-hours fee of $50/hour will apply for any events or meetings outside of regular business hours.

1. All meetings should be conducted during regular business hours, 7:30 AM - 4:00 PM, Monday through Friday, excluding state holidays. Be sure to include any set up/clean up time in your requested time slot.
2. An after hours fee of $50/hour will be charged for any time that the event (including set up and clean up time) runs outside of regular business hours.
3. Failure to cancel a reservation 5 business days in advance will result in a $50 cancellation fee.
4. The ESD 123 campus (including parking lot areas) is a tobacco-free, e-cigarette free, vapor-free, drug-free and weapons-free campus.
5. The fee for coffee is per pot, approximately 1/2 gallon each. Please indicate how many you expect to need. You are also welcome to bring in your own coffee, drinks and food. In addition, if you’d like a list of local caterers, please let us know.
6. Moving furniture outside of the default room configuration requires prior approval and will result in a room reconfiguration fee of $50.
7. As part of the Room Use Agreement, ESD 123 expects that the room be left in a clean and undamaged condition. After your meeting, please be sure that all trash on tables/floors is picked up and placed in the proper receptacles. Any spills, etc. must be cleaned up. Please see the ESD Facilities Manager if there are any spills on the carpet. If the room is left in an unacceptable condition, you will be invoiced for cleaning services.
8. Please provide a certificate of insurance form at the time of room request.
9. When the Room Use Request has been received, if the requested space is available, the room will be scheduled and you will receive a confirmation of your reservation via e-mail.
