Leave

Most employees will submit and track sick, personal, and/or vacation leave requests through Skyward. ECEAP and 21st Century employees who keep timesheets in Frontline will submit leave through Frontline Absence Management.

Attendance Standards

We need the combined efforts of all team members to ensure uninterrupted and efficient operations. We expect you to report to work on time as scheduled unless out of the office for approved absences.

You must report tardiness or unplanned absences to your supervisor as soon as possible. If you’re unable to contact your supervisor, leave a message stating your reason for being late or the absence and a good contact number where you can be reached. 

Absenteeism or tardiness that is unexcused or excessive is grounds for disciplinary action, up to and including termination. Employees will not be disciplined in connection with absences or tardiness that is protected by law (WA PFML, FMLA, approved sick leave or vacation).

thermometerSick Leave

  • Policy: Policy 5401 – Sick Leave
  • Purpose: Sick leave may be used for employee illness/injury or for the care of an employee’s family member.
  • Accrual: Full-time employees earn 12 days of sick leave each year. Part-time employees earn sick leave on a prorated basis. Temporary employees earn one hour of sick leave for every 40 hours worked.

Vacation Leave

  • Policy: Policy 5411 – Annual Leave / Vacation 
  • Purpose: Annual leave is accrued for employee’s personal use as desired.
  • Accrual: Most classified year-round employees working at least half-time are eligible to earn vacation leave. Full-time classified staff earn 12 days of annual leave during the first year of employment. After the first year, employees shall receive an additional day per year for each year of service. Vacation leave is accrued monthly and can be used at the beginning of the next month.

Personal Leave

  • Policy: Policy 5400 – Personal Leave Paid/Unpaid
  • Purpose: Paid personal leave is intended to be used for personal emergencies, personal business, or as otherwise needed.
  • Accrual: All ESD 123 employees who are employed at least half-time are eligible to accrue personal leave. Staff can accrue up to 16 hours of personal leave to be used within the fiscal year (before August 31st).

Bereavement Leave

  • Policy: Policy 5403 – Emergency Leaves
  • Purpose: You may be granted up to 5 days bereavement leave for the loss of an immediate family member or 1 day for the loss of any other relative, as designated by Policy 5403.
  • Request bereavement leave: Employees requesting bereavement leave must submit a Bereavement Leave Request form through Frontline Central.

Shared Leave

  • Policy: See Policy 5406 – Leave Sharing for more information about shared leave.
  • Purpose: Occasionally employees encounter serious medical or family circumstances that cause them to deplete all their available leave. Shared leave is a program that allows ESD employees to donate excess leave to their fellow employees. Donors may use sick leave, annual leave or personal leave.
  • Request shared leave: Apply for shared leave through the Human Resources department. Once the leave request is approved, the HR department solicits leave donations from ESD employees.

Family Medical And Maternity Leave

  • Policy: Policy 5404 – Family, Medical, and Maternity Leave 
  • Family and Medical Leave Act: The Federal Family and Medical Leave Act (FMLA) entitles eligible employees to take job-protected leave for specified family and medical reasons. The HR department administers this program.
    • Request FMLA: Employees requesting FMLA or PFMLA must schedule an appointment with HR and submit a 5404: Family, Medical, and Maternity Leave Request form in Frontline Central.
  • Paid Family and Medical Leave: Employees who have worked 820 hours in the qualifying period (equal to 16 hours a week for a year) will be able to apply to take up to 12-18 weeks paid medical and/or family leave. While on leave, you will be entitled to partial wage replacement from the Employment Security Department. The Employment Security Department administers this program.
    • Request Paid FMLA: In addition to submitting a 5404: Family, Medical, and Maternity Leave Request form in Frontline Central at least 30 days prior to taking FMLA leave, you will need to file your claim with the Employment Security Department at https://paidleave.wa.gov/get-ready-to-apply/.

Leave Without Pay

  • Purpose: If an employee has exhausted all allowable leave and needs to be away from work for any reason, they must request approval directly from the Superintendent prior to the absence.
  • Request LWOP: Submit a Leave Without Pay Request form in Frontline Central.
