Distributing Communications

Sharing Materials & Communication with School Staff and Students

ESD 123 partners with and provides services to school districts across southeast Washington. Each individual school district has its own communication process and protocols for disseminating information to students, staff, and families in that district. If you are looking to share communication materials, scholarship opportunities, or other information for the students and school staff within a community, we encourage you to contact your local school district and follow their required procedures for distribution of materials.

  • ESD 123 does not communicate or distribute scholarship information, unless the scholarship is available to ALL Washington students and/or educators.
  • ESD 123 does not maintain nor provide public distribution lists for regional school or district staff.

Please contact school district communication departments or administration offices and review any communication guidelines available on their websites.

Distributing External Materials

Outside organizations interested in distributing flyers and other communications through ESD 123 online communication tools (website and social media) and/or at the ESD 123 campus must follow the requirements disclosed below.

Materials MUST:

  1. Be submitted directly to and approved by the ESD 123 Communications Department.
  2. Offer services, events, or other programs that are available at no cost.^
  3. Have social, recreational, or educational value for educators, students, and/or their families.
  4. Serve / be available to residents of at least one of the seven counties within the ESD 123 region.
  5. Be screened for the appropriate content and application of ESD 123 brand guidelines.
  6. Be consistent with the ESD’s strategic direction and policies.

Materials CANNOT

  • Advocate or promote the violation of existing laws, regulations, ordinances, or official ESD 123 policy, rules, or regulations.
  • Promote or oppose any political candidate or ballot proposition; or inhibit the functioning of any school or school program.
  • Contain language that is intimidating, demeaning, harassing, or threatening based on race, religion, color, national origin or ancestry, sex, gender identity, sexual orientation, age, disability, marital or veteran status, including, but not limited to, racial, sexual, or ethnic slurs.

^ Occasionally, ESD 123 programs and departments partner with external organizations to offer trainings and events. If said events are offered at-cost, ESD 123 may communicate and promote the events through print and electronic materials reviewed and approved by the ESD 123 Communications Department.

Distributing Printed Materials at the ESD 123 Campus

Visitors at ESD 123 are primarily school and district staff attending meetings and workshops, and families with preschool age children. School and community organizations interested in having flyers and other materials distributed directly to ESD 123 visitors at the front lobby areas of the main Professional Development Center or ECEAP Preschool area must follow these additional requirements:

Print materials must be submitted:

  • in an original Microsoft Word or PDF format (scanned files/documents will not be accepted);
  • to Director of Communications Molly Curtiss at [email protected];
  • in both English and Spanish. (The ESD will not translate materials submitted.)

Once approved by the Director of Communications, the requesting organization must coordinate with the Director to print and deliver copies to the ESD 123 Pasco Campus. (The ESD will not print copies of materials submitted.)

Do not send or submit flyers/materials directly to programs or staff members. All materials are required to be approved by the Director of Communications.

Print Materials MUST:

  • Prominently display contact information and other important information, such as date, time, location, details of the sponsoring organization.
  • Contain the statement: “This activity is not sponsored or endorsed by Educational Service District 123.”
